What the AI Concierge Does
The AI Concierge handles three categories of property management work:
- Resident communication. Answering questions about lease terms, community policies, amenity availability, and payment due dates — drawing from actual lease data and property rules.
- Maintenance coordination. Receiving requests, categorizing urgency, creating work orders, and coordinating with vendors — including scheduling and follow-up.
- Lease management. Tracking expirations, initiating renewals, generating offers, and managing the workflow from outreach to signature.
The key difference: the Concierge has access to your actual property data. When a resident asks “When is my lease up?”, it pulls the actual expiration date. When they report a clogged drain, it checks the vendor list, finds the plumber, and proposes a service window.
How It Handles Maintenance
- Intake. Resident describes the issue via chat. The AI extracts category (plumbing, electrical, HVAC), location, and urgency.
- Triage. Emergency issues are flagged and escalated with push notification. Non-urgent issues follow standard workflow.
- Work order creation. Structured work order with unit number, description, photos, category, and suggested vendor.
- Vendor coordination. For properties with preferred vendor lists, the AI contacts the vendor and proposes scheduling windows.
- Follow-up. After service date, the AI confirms with the resident whether the issue was resolved.

Lease Renewal Automation
- 90-day alert. The system identifies leases expiring in 90 days and queues them for renewal outreach.
- Personalized offers. Based on market comparables, tenant history, and manager preferences, the AI generates renewal offers with recommended pricing.
- Automated outreach. The Concierge sends the offer via the tenant's preferred channel with clear terms and simple acceptance flow.
- Negotiation support. Handles common negotiation scenarios within pre-set parameters.
- Escalation. Counters outside acceptable parameters escalate to the property manager with full context.
How We Built It
The AI Concierge runs on Claude API with a custom orchestration layer:
- Context injection. Every conversation includes relevant property data — lease details, unit info, maintenance history, and property rules.
- Action permissions. Can read data, create work orders, send notifications. Cannot approve spending above thresholds or modify lease terms.
- Conversation memory. Maintains per-resident history — previous interactions, open requests, preferences.
- Guardrails. Filters for inappropriate requests, legal advice (redirects to attorney), and emergency situations (immediate escalation).
What's Next
Three capabilities in active development:
- Predictive maintenance. Using historical work order data to predict when units will need service before residents report issues.
- Showing assistant. AI-powered scheduling for unit showings with automated follow-up and application prompting.
- Financial insights. Proactive alerts about expense anomalies, rent collection patterns, and budget analysis.
